benneve Posted June 4, 2010 Share Posted June 4, 2010 JOB DESCRIPTION Job Title: Personal Assistant to the Board of Directors Report to: Board of Directors Job Summary: To provide secretarial, administrative and human resource support for the Board of Directors of Smart Digital Online Ltd. Main areas of Responsibility: • Management of the Board’s diaries and appointments • Help Board manage output, workflow and office deadlines • Take and relay accurate and timely messages from telephone callers, and answer queries where possible • Take minutes for all meetings. • Draft, type and dispatch all the board’s correspondence • Liaise with relevant individuals, external organisations etc to arrange meetings, prepare agendas and draft minutes • Maintain a comprehensive filing system • Co-ordinate the board’s travel • Tabulate and retrieve the board’s official expenditures and claims • Undertake any other duties as requested by the board HR Support to the board Attendance & leave management - • maintaining leave cards for the Bangkok office • monitoring attendance sheet, • distributing summary attendance details to management, • filing the attendance sheet at the end of the year Maintaining personnel files - • filing necessary documents, • providing necessary information to Finance and other colleagues, Assisting with new recruitment - • placing advertisements with institutions for various positions • following up with candidates/arranging interviews • following up on references Skills: • Ideally educated to degree level (A’ level education considered) • A minimum of four years PA/secretarial experience at a senior level • Shorthand and excellent typing skills- Good computer literacy, speed and accuracy essential. (MS Office, Excel, Powerpoint). • Experience of working within an international environment, ideally international organisation and/or multinational private sector • Experience of dealing with different time zones • Excellent organisational skills • Excellent communication skills, both verbal and written • Professional telephone manner • Willingness to work in a multicultural environment • Proven ability to work under pressure and to tight deadlines • Bright, confident personality • Well presented • Highly personable • Flexible and mature approach with ability to work unsupervised • Willing to travel internationally (if required) 1 Link to comment Share on other sites More sharing options...
